Admin Support Assistant-Humanitarian Response

1 May –  31 December 2022

Background

The Humanitarian Response project has aimed to provide timely humanitarian live-saving assistance for displaced children and their families during their displacement on both Thailand and Myanmar borders. The project is focusing on procurement for NFI kits, EiE kits, HBL kits and CPiE kits and there is a high volume of procurement during March.

The Admin Support Assistant is required to support the team and to ensure the procurement for live-saving kits go smoothly. Moreover, this position is expected to facilitate the administrative task as request from the team members This position will be based in Mae Sot Field Office to provide overall administrative assistance to the Senior Supply Chain & Admin Officer for emergency response.

Stock and warehouse management

 

 

  • Ensure all goods in the operations and warehouse are well managed in line with the security and safety good practice
  • Ensure correct record of good receiving, storing and dispatching to maintain accurate stock records and controls at all times and in a timely manner
  • Maintain stock items and conduct physical checks with Sr. Supply Chain & Admin Officer on a quarterly basis.
  • All goods in the operations and warehouse are well managed in line with the security and safety good practice
  • Correct record of good receiving, storing and dispatching to maintain accurate stock records and controls at all times and in a timely manner

Administrative Support

 

  • Support and arrange for local camp pass in 4 provinces
  • Ensure the timely and accurate booking of hotels and transport as requested by team members
  • Manage office invoices/payments process and expense claims as required.
  • Coordinate with Bangkok office to obtain MOI camp pass in timely manner
  • Submit the letter to local MOI
  • Share hotel booking to team member
  • Submit the office payments on time
  • Focal point for collect documents to BKK office

1 May – 31 Dec 2022

Management

This position will report to Senior Supply Chain and Admin Officer.
