TREAT Asia-Therapeutics, Research, Education, and AIDS Training in Asia-is a network of clinics, hospitals, research institutions and community organizations working to ensure the safe and effective delivery of HIV/AIDS treatments throughout Asia and the Pacific. TREAT Asia is searching for the following to be based in Bangkok, Thailand

 

Administrative Assistant

 

Primary functions:

Performs a variety of administrative duties which include receiving visitors and directing telephone calls, serving as the petty cash custodian, purchasing office stationery and kitchen supplies, arranging travel, meeting preparation and coordination, fiscal administration, and providing general support to assigned program staff.

 

Duties and responsibilities:

Office administration

  • Greets and directs visitors and other individuals to appropriate staff, meetings, or other activities.

  • Answers, screens and refers telephone inquiries to appropriate staff members or departments. Accurately transfers or passes on messages to staff.

  • Handles resupply and maintenance of routine office equipment (e.g., photocopier, printers, fax).

  • Receives and distributes packages/mail/fax to appropriate staff. Maintains messenger log and checks outgoing packages/mail/fax.

  • Maintains database of TREAT Asia and non-TREAT Asia phone numbers and addresses.

  • Serves as petty cash custodian. Generates petty cash vouchers and supporting documents, (i.e., receipts and reports) to justify refilling of petty cash account.

  • Processes purchasing of office’s stationery, staff name cards, kitchen supplies.


 

Program administration

  • Schedules appointments, maintains calendars and prepares timesheets for a) the Director, Operations, b) International Grants Manager, c) Program Manager, Community and Policy and d) Project Manager, Education.

  • Provides administrative support with the arrangement and implementation of meetings, trainings and events including but not limited to travel arrangements, meeting material and venue preparations, and on-site administrative support, as required.

  • Manages staff and guests domestic and international travel arrangements, including but not limited to air tickets and airport transfers, as requested. Acts as a liaison with TREAT Asia travel agent(s), participants and event organizers.

  • Monitors, reconciles, and assists with fiscal administration including but not limited to budgets, funding, grants, contracts, expenses reports, travel, external vendors, and purchasing.

  • Assists with the development and dissemination of briefs, summaries, or other communication materials highlighting program activities, by assisting with researching and compiling relevant information from different sources.

  • Establishes, updates, and maintains files, inventories, and records; implements and maintains data management systems, as required.

  • Performs other miscellaneous job-related duties, as assigned.

 

 

Qualifications:

  • At least two years of experience as an administrative staff or receptionist.

  • Working knowledge of basic office systems, including experience with Microsoft Office programs (i.e., Outlook, Word, Excel and Power Point). Knowledge of Adobe Acrobat a plus.

  • Good to fluent spoken and written English language skills.

  • Strong interpersonal and communications skills.

  • Knowledge of HIV/AIDS issues and/or community-based organizations preferred.

  • Experience with domestic and international travel arrangements preferred.

  • Detail-oriented and organized; ability to prioritize and manage multiple tasks and meet deadlines.

  • A Thai work permit is not provided with this position.
