Based in Bangkok, SEI Asia has a diverse team of multinational experts that integrates scientific research with participatory approaches to co-develop and share knowledge, build partnerships and influence policy for resilient development. It focuses on gender and social equity, climate adaptation, disaster risk reduction, water insecurity and integrated water resources management, transitional agriculture, renewable energy and urbanization.

 

SEI Asia is an affiliate of Chulalongkorn University (CU), Thailand. SEI and CU have inked a long-term agreement to foster innovative scientific research combined with effective policy engagement on development and environmental challenges in Asia. The key areas of collaboration are intellectual engagement for joint research applications and fund mobilization, lecturing and seminars for CU students, post-graduate supervision and examination and CU-SEI employee links.

 

The Role: The Administrative Assistant will provide assistance to Operations on various administration, programme management and finance duties. The Administrative Assistant will liaise with external service providers such as travel agents, suppliers, hotels and other relevant parties. Internally, he/she/they will interface with all colleagues in the office and may connect with colleagues from other centres where required.

 

The Administrative Assistant will report directly to the Head of Operations and is under the overall supervision of the centre director.

 

Main responsibilities

  • Handle front desk activities, including welcoming guests and distributing and expediting mail
  • Welcome guests to office and coordinate refreshments, including tea and coffee in case office assistant is absent
  • Ensure operation of office equipment
  • Manage and coordinate purchasing of stationery and supplies together with office assistant
  • Ensure up-to-date online centre calendar
  • Assist in travel planning, including flights, hotels, facilities and visa applications
  • Arrange all related travel, including cash advances and claims, for centre director
  • Manage work schedule and calendar for centre director
  • Assist in organizing meetings and workshops, including preparation of materials and equipment
  • Support visa and work permit processing
  • Support administration work with Chulalongkorn University
  • Provide assistance to Finance section as required
  • Support on any additional administrative tasks as required.

 

Who you are: We are looking for a quick learner who is service-minded and a creative problem solver who is keen to work with a team to support the operation of a flexible work environment and results-based organization.

 

Formal qualifications and knowledge

  • University degree with a minimum of 1 year of experience in business administration or related field
  • Experience of coordination and management with the capacity to deliver in order to meet deadlines
  • Fluent in Thai
  • Conversant in level-appropriate business English

Desirable qualifications

  • Proficient in Microsoft Office
  • Experience supporting organizing events and logistics
  • Experience from international organizations, institutions or non-profit organizations an advantage

Personal skills

  • Good planning, organizational and time management skills
  • Problem-solving and critical thinking skills
  • Multitasking skills with ability to prioritize tasks
  • Flexibility to adapt and positive attitude towards change
  • Fast learner with high work ethic
