Project Officer- Admin and Operations

 

 

ABOUT THE OPPORTUNITY

 

We are an international media development organization, whose mission is to give people a voice and the information to empower communities. We are seeking a Project Officer- Admin and Operations for Investing in Independent Media Activity (IIM) with the general goal of expanding access to information among the general public and supporting sustainable independent media. As part of the IIM Field Operations team, the Project Officer- Admin and Operations will be working closely with both programs and finance staff to support the project. This person will report to the Regional Operations Officer, under IIM’s arrangement. The Project Officer- Admin and Operations will be responsible for the day-to-day administrative and operational duties of the project, including ordering supplies, maintaining local service contracts, coordinating procurement, travel and logistics for IIM staff and project activities, and supporting the staff with additional tasks as necessary.

 

LOGISTICS

This position will be at-post in Thailand. Due to the ongoing COVID-19 pandemic, our office is closed or partially remote and staff are working remotely. Until the situation meaningfully changes, this role will also function remotely.

Essential duties and responsibilities are as follows (other duties may be assigned):

 

  • Day-to-day administrative duties of the project operations, activities and office
  • Provide all necessary operational supports for IIM implemented activities or joint-implemented activities, can be online, hybrid or face-to-face
  • Provide operational supports for the travel and logistics for IIM staff, partners and participants
  • Prepare for necessary documents, conduct due diligence vetting, and perform approval process for the procurement
  • Procure supplies, equipment and digital licenses, etc. for grantees under the various grant mechanisms, including In-kind Support Grant mechanism
  • Procure supplies, equipment and digital licenses, etc. for the staff and project implementation
  • Request advances for procurement and reconcile the advances after finishing the procurement
  • Deliver or make shipment of equipment for project beneficiaries.
  • Maintain the records of procurement, supplies, and inventory such as maintain the vendor lists and regularly update the list
  • Provide support for IT related issues with the IIM staff
  • Perform other duties, as and when required

 

Qualifications:

 

  • At least two years related work experience and a strong interest in providing high quality administrative and operational support to a professional team
  • Possess knowledge and experience in operations and procurement, preferably for media organizations or with development NGOs
  • Understanding of procurement process and documents, preferably under USAID-funded Activities
  • Good understanding of local venders, suppliers and delivery services in Thailand
  • Skilled user of MS Office (Word, Excel, Outlook, PowerPoint) and the collaboration tools
  • Good personality and communication skills
  • Attention to details
  • Ability to work well independently and remotely, as well as with a team
  • Understanding of/experience in media and journalism is desirable
  • Professional level working English is a must and speaking native or affluent Thai language is highly favorably
