FCA Thailand operates from Bangkok as a local foundation supporting collaborative relationship building, peacemaking and broader peacebuilding efforts in Thailand and in the region. It is integrally connected to FCA which is Finland’s largest development co-operation organisation and the second biggest organisation in Finland working in humanitarian aid. FCA is a founding member of the international aid alliance of churches, ACT Alliance. We seek positive change by supporting the most vulnerable people in fragile contexts. We specialize in supporting local communities’ right to peace, livelihoods and quality education.

FCA hosts the Secretariat of the Network for Religious and Traditional Peacemakers (Network), a global network that brings together actors to provide support for grassroots to international peacemaking and peacebuilding efforts. The activities of the Network involve more than 80 active organisations around the globe.

 

Finance and Admin Officer (National Recruitment) Bangkok, Thailand

 

FCA Thailand is seeking a Finance and Admin Officer to work as part of the Network Asia team in Bangkok. The Finance and Admin Officer provides coordination and administrative support to the office to ensure office processes run smoothly and good relations are maintained with Thai stakeholders. S/he is also responsible for the overall administrative and financial management of the GIZ-funded iDove Projects on Interfaith Dialogue and Prevention of Violent Extremism.

 

The Finance Officer ensures that relevant legal, donor and internal requirements related to finances and administration are met. S/he provides technical advice and support in financial management to the partners who are implementing small scale projects.

 

Areas of responsibility include:

  • Coordination and communication with the Thai authorities and partners.

  • Manage HR related documentation, including database for contracts and visa, work permit and healthcare support.

  • Coordinate logistical arrangements, administration and finances of events (such as workshops) in Thailand, and ensures support to both national and international participants.

  • Maintain a procurement register and take part in procurement processes including managing communication with service vendors and drafts related contracts.

  • Maintain asset and stock registers, and oversees property management services, incl. ordering office supplies and needed equipment.

  • Maintain contact database of the beneficiaries in accordance with the data protection guidelines.

  • Manage the complaints mechanism of the office.

  • Support payroll procedures, billing and accounting duties.

  • Establish and document systems and procedures for adequate administrative and financial management of projects, ensuring smooth running of the project administration and finances.

  • Ensure, through systematic, continuous and active communication and other means of monitoring, that the project sub-grantees comply with donor, contractual and internal requirements related to administration and financial management. Provide required training to support in their capacity to manage grants.

  • Establish/coordinate a mechanism for funds transfers to sub-grantees in the region and reporting procedures for the used funds.

  • Consolidate/prepare official and adhoc official, donor and management reports.

Competence and Personal Requirements:

  • Bachelor’s degree or similar level degree/diploma in human resources, administration, finance, accounting or other relevant field.

  • Prior experience in managing/coordinating an office, including experience in accounting is considered an asset.

  • Strong coordination and communication skills, including with Thai authorities. Prior experience in working with religious actors, youth or women peacebuilders is considered an asset.

  • Fluent in Thai. Excellent English communication skills, both oral and written.

  • Ability to implement and develop procedures in a fast-paced and evolving environment. Ability to adapt to a new working environments and achieving results with multiple priorities and deadlines

  • Organizational skills, attention to detail and ability to work both independently and collaboratively with partner organisations and colleagues across the organization.

  • Expertise with MS Office applications (Word, Excel, Access, Outlook, PowerPoint); accounting softwares, Advanced Excel skills preferable.

  • Excellent time management skills, ability to work well without a supervisor’s constant presence and ability to work under pressure.

  • Knowledge and ability to use online meeting and social media platforms, such as Teams, Zoom, Twitter and Facebook.

 

The employment contract for this position will be made with three months’ probation period, starting 1st of March 2022 or as soon as possible.  The position is based in Bangkok.
