Finance Documentation Assistant (Temporary/ Part-time)



  1. Introduction


Working in 50 developing countries across Asia, Africa and the Americas, Plan aims to reach as many children as possible, particularly those who are excluded or marginalized with high quality programs that deliver long lasting benefits by managing our donations effectively.


The consultant will support APAC Regional Finance in bookkeeping inter-company recharges and working in collaboration with other PLAN COs to exchange the accounting information and ensure consistent service delivery.


  1. Background


Additional capacity is required to support ongoing documentation work of the finance section and ensure smooth process during the digitalization project of Regional Office.



  1. Objective of the TOR


Under supervision of Regional Hub Finance Manager, the consultant is to provide support to APAC Regional Finance in arranging finance documentation for 3 months (March 2021 until May 2021 (Part-time).



  1. Tasks/Methodology


  • Assist ARO Finance and Grant Compliance Team to collect, keep and file documents in the folders.

  • Prepare folder tags and stamp document numbers on the documents.

  • Assist ARO Finance and Grant Compliance Team to retrieve the documents from outside storage.

  • Scan documents and keep the files in relevant folders.

  • Assist ARO Finance and Grant Compliance Team to prepare documents for auditor.

  • Assist ARO Finance and Grant Compliance Team to coordinate with the Digital Scanning Company in sending documents to scan and checking the record data from the scanning company.

  1. Schedule


The contract shall commence in on in March 2021 and end on 31 May 2021. Extension of the consultancy is subject to requirement of the APAC Finance, the job performance and /or the availability of funds.


Main task



Filling the financial documents from FY20-FY21 (Backlog and current documents)

All financial documents are filed in the proper folders with numbering stamps.

31 March 2021

Perform tasks as described in Section IV.

Activity sheet and Timesheet signed/approved with invoice

End of each month/End of Contract



  1. Qualifications


  • Fresh graduates are welcome.

  • 0-1 year working experience as Documentation Assistant or similar position but not mandatory.

  • Possess basic computer literacy.

  • Be able to read basic English.

  • Basic scanning knowledge needed. Able to lift heavy documents.

  • Do not mind mundane job.

  • Willingness to learn and develop new skills.
