seeks to fill the following position:

Welcome Assistant

Based in Bangkok


This post will be under the supervision of Hospitality department. Our department is responsible for the visa, hotel, car booking and follow-up of domestic and international flights. It also organizes the welcome of new international staff. Finally, this department is in charge of the organization of seminars, conferences and meetings taking place mostly in Bangkok.


Your main responsibilities:

  • Handles travel-related correspondence with headquarters and other delegations
  • Ensures the necessary administrative related work and good customer service for concerned files
  • Support other member’s duties within Welcome unit in area such as Visas and Permits arrangement,
  • In charge of the planning and organization of events/ meeting/ seminars, coordinating with the parties concerned.
  • Handles correspondence between the seminar /conference’s requester, participants from various country and the hotel contact person.
  • Ensures the necessary administrative related work and good customer service for concerned files
  • To check, verify and justify the invoices from hotels and seminar conference venue bills
  • To manage reservations and control correctness
  • Performs various office duties in English and Thai
  • In charge of mobile phone package (by coordinating with mobile service provider, check and manage invoices of mobile phone bills on monthly basis)
  • Contribute mobile phone allocation for all colleagues (IS equipment)
  • In charge of technical problems and maintenances of mobile phones in coordination with ICT department and/or mobile service provider company
  • Manage mobile phone and sim card inventory
  • Update mobile number of ICRC colleagues & family members and report to ICT for ICRC SMS alerting system


General Duties:

  • Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
  • Understands and adheres to the ICRC Code of Conduct
  • Understands the roles of the components of the International Red Cross and Red Crescent Movement
  • Respects and observes staff regulations and security rules at all times
  • Represents the ICRC in a professional manner at all times
  • Develops and maintains a pleasant and conducive working environment with colleagues and line managers
  • Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
  • May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary


Your profile

  • Strongly motivated by humanitarian work
  • 2 years’ experience in a similar function
  • University degree
  • Very good command of spoken and written English and the local working language.
  • Computer literacy; good knowledge of Microsoft Office.
  • Good communication skill
