Position Title:            Finance and Administration Assistant, (Thai National)

Open Period:             30 Jul 2020 – 15 August 2020

Position Description: The Finance and Administration Assistant assists the Finance and Administration Associate in supplier payment processing, staff expense claims processing, account reconciliation, documentation and filing, audit support, and financial reporting, as well as in expatriate staff visa and work permit processing and in general administrative support work.

Duty Station:             RIMES Regional Facility, Asian Institute of Technology campus, Pathumthani, Thailand

Type of Contract:       Full-time staff

Remuneration and Benefits:

  • Monthly base salary, negotiation based on experience and budget
  • Housing allowance 20% of base salary
  • Health, life insurance
  • Annual leave allowance of 24 days

Minimum Qualifications:

Knowledge:          Bachelor’s degree in accounting, finance, economics, or business administration; knowledge of Thai financial, labour and immigration regulations

Experience:          At least 2 years relevant experience

Skills and Abilities:  Excellent spreadsheet skills; proficiency in MS Word; strong organizational skills; excellent customer service skills; Thai and English communication proficiency

Personal Qualities:  Exceptional attention to detail and accuracy; ability to work effectively in a multi-tasking and multi-cultural environment; demonstrated ability to work as an integrated team

Major Duties and Responsibilities:

Finance

  • Office and project accounting and cash control
    • Administer cash controls, advances, accounts payable and receivables
    • Ensure proper documentation and entry into the accounting system
    • Identify discrepancies and resolve errors if any
    • Comply with established internal control procedures to ensure proper management of financial transactions
  • Maintenance of general ledger and associated Excel spreadsheets
    • Reconcile general ledger on a monthly basis
  • Preparation of financial reports
    • Work with staff to compile, review, reconcile, and summarize project expenditure reports
    • Analyze variances
    • Undertake monthly bank reconciliations
    • Prepare monthly financial status reports
    • Assist in preparing end-of-year financial report
  • Maintenance of an efficient filing system
    • Ensure documents are with proper codes and file according to code and, in a supplementary system, according to project
  • Support to financial audits
    • Prepare supplementary documents for audit
    • Assist on-site auditors
  • Suggest policies for initiating new accounting procedures and systems

Administration

  • Liaise with government offices for acquisition of expatriate staff visas and work permits
  • Maintain calendar of work and travel schedules
  • Maintain office premises and other facilities, and administer leasing agreement
  • Oversees office equipment and supplies, maintain inventory and documentation of the organization equipment
  • Maintain procurement of supplies, stationery and equipment for RIMES and as needed field offices and sites, getting quotations for purchases, selecting vendors, placing orders, paying and following delivery of project materials.
  • Maintain inventory of RIMES equipment, instruments, furniture, etc
  • Provide reception duties:  answering the phone, welcoming visitors, and making/ follow-up of appointments
  • Collect and distribute incoming post
  • Ensure filing is up to date
  • Keep staff employment, consultant and supplier documentation (contracts, visa/work, leave record)
  • Coordinates travels (flight bookings, accommodation visa applications when needed) for staff and partners.

  • Other relevant duties and responsibilities as assigned by the Manager; HRAF Management Division
