Main Purpose
|
|
Supervising the execution of the supply chain activities in the project (order, procurement, and stock management) according to DWBT protocols and standards in order to ensure the optimal functioning of the project
|
|
Accountabilities
|
|
- Planning, coordinating, supervising and monitoring on a day-to-day basis the implementation of the supply activities in the project as specified by the line manager, ensuring compliance to DWBT standards, protocols and procedures. Including the following tasks:
- Order management: Responsible for the supply administration, the correct filing and archiving of supply database and the efficient processing and follow up of orders and requests.
- Procurement: Responsible for purchase management, in particular the follow up of purchases, preparation, together with the Logistics Manager, market assessments, contracts and supplier evaluations and communication with local suppliers for the status of purchase orders, claims and complaints
- Stock management: Controlling quality and costs and the physical state of orders and determines the quantities of products to buy (volume) taking into account the demand and needs of the , the availability forecasts, delivery timelines, budget and other relevant factors and monitors stock levels related to monthly consumption figure, expiry dates, excess drugs and possible shortage in the project.
- Communicating with customers, keeping them up to date concerning their orders status (BO confirmation) and prioritizing procurement and transport according to their needs.

DWBT Section/Context Specific Accountabilities
|
|
Order management and procurement.
- Under procurement management, he/she is responsible to make sure that, all the procurements for goods/services and works for DWBT follows procurement/supply guideline, policies and procedures.
- Ensures that the purchase process for IR (internal request) management are in line with the procurement lead-time set by DWBT for purchase of goods and services with upto 95% of the IR deliveries for items within the time frame/ lead time agreed.
- Ensure goods purchased are properly received, inspected and verified with specification to purchase order, quality control and quantities cross-checking including expires for the sake of consumable.
- Conduct market survery and assessment with the support of the project logistics manager to indentify new vendors so as to open a competitive market structure and improve our sourcing strategy with many suppliers per categories of goods and service.
- Responsible to collect quotations, sending RFQ, prepare bid analysis, purchase order for goods and service under the supervision of ther logistics manager.
- Under the order management, supply archiving of purchase administrative files, Purchase orders (PO) order request,(OR) and stock request (SR) are properly filed following logx7 database sequence reference number
- He/she is responsible for the stock calculations and order placement for the consumable items on 3months and buffer stock management through proper monthly consumption follow up.
Warehouse and Stock management.
- Ensure all items are well organised and properly stored in the warehouse with correct visibility, acessibility and easily removed from the shelves without having difficulty, eg. do not store heavy boxes, item higher on the shelves.
- All items in store must be correctly encoded into the stock cards according to DWBT warehouse protocol, correct quantities, correct expires especially for consumables, broken items are identified with a replenishment/disposal plan.
- Ensure that all items are issued from stock using the DWBT stock protocol of stock request documents, stock request is generated basing on the IR raised for the item and followed by stock cards update.
- Storing items according to nature and with reference to DWBT protocol, Chlorine, Fuel, other chemicals and flamables must be stored separately to avoid explosion and fire out break.
- Perform quarterly inventory and stock count on regular bases basing on the inventory chronogram, for consumable and other general stock of items that exist in the warehouse.
- Inform the line manager about item reaching minimum threshold as well expires close to six months to enhance plans to get rid of or increase consumption, donations and disposal process and replenishment accordingly.
- Ensure temperatures are always minimum and permitive to sensitive items, especially coldchain and some consumable drugs that require cold storage systems.
- No entry of un authorised personel into the warehouse premises, the aim is to avoid lost of valuable items and theft case which are un-justified.
- Always keep and organize the store in a good, safe and clean condition.
